Podium Presentation Guidelines

Oral and video presentations in session halls

Podium abstract presentations are held in session halls and moderated by expert chairs, who facilitate audience questions after each presentation.

Key steps for Podium abstract presenters:

  1. Prepare slides and include a disclosure slide
  2. Upload your presentation at least 1 hour before your session
  3. Attend your session and present your work

Slides and Disclosures

To ensure your presentation runs smoothly:

All presentation files must be submitted in their final form at the Speaker Service Centre at least 1 hour before the session start time.

All Podium abstract presenters must include a disclosure slide at the start of their presentation. This slide is included in the presentation template.

Video abstract presenters do not need PowerPoint presentations. The AV crew will play each video once the session chair invites the presenter to the stage.

Speaker Service Centre

Presenters should check in at the Speaker Service Centre to upload and review their presentation. The computers are configured to match those in the session rooms.

It is essential to review your presentation at the Speaker Service Centre, where technicians can assist with compatibility or formatting issues and explain the in-room set-up.

The Speaker Service Centre is located in Room 0.2 Berlin.

Presentation File Requirements

Supported Formats
The session rooms are optimized for 16:9 presentations.
PPT, PPTX; The Presentation Management system is optimized for PowerPoint 2026, whether created on a PC or MAC. We recommend all PPT files to be converted to the PPTX format. Alternatively, PDF format is also possible.

Video and Audio File Support
If you’re using PowerPoint 2007 or later, please be sure to embed your media files within the PPTX file. Please compress your videos and make sure the encoding is less than 5Mbps for the best performance, using a higher bit rate encoding may damage the quality. For best compatibility, we strongly advise your videos to be a WMV or MP4 file format.
If you plan to include a video in your presentation, please notify a technician in the Speaker Service Centre when uploading your presentation, so arrangements can be made for assistance in your session room.

Considerations for custom fonts
We only supply fonts that are included with Office 2026. If you need a specialized font, it should be embedded into your PowerPoint presentation.

Presentation back-up
Please bring a copy of your presentation and all movies with you to the venue (both USB and online are recommended).

The use of your own laptop in the session room is prohibited. Therefore, please make sure to upload your presentation at the Speaker Service Centre.

Please arrive at the session room 15 minutes before the start of your session.

Presentation Slides Required

Chairs will be asked to strictly enforce the time limit on your talk. Your question time will not be considered as part of your presentation time. You should therefore practice your talk prior to the meeting with particular regard to the timing.

Your abstract and/or video abstract will be available via the ICS 2026 Scientific Programme.

The official language of the ICS and the Annual Meeting is English, therefore abstracts are expected to be presented in English.

Discussion, Questions and Answers

At the end of your presentation you will be asked questions about your abstract. The Chair of your session will facilitate questions from the audience. If English is not your first language, and you need assistance, please bring someone to help you translate.
